Override Academic Requirements in Workday (Academic Specialists)
OVERRIDE ACADEMIC REQUIREMENT
Workday supports making a curricula exception for a student. Examples include waiving a course or substituting a course not normally accepted for a specific requirement.
From the student Workday homepage:
-
There are two ways to access the Override Academic Requirement for Student task.
-
The first is to use the search bar to launch Override Academic Requirement for Student.
-
Enter the Student ID, Academic Requirement (e.g., ILLUS-2012 or Illustration Major Electives), and Override Type (descriptions of Override Types on next page).
-
The second way to access Override Academic Requirement is directly from the student’s record.
-
Navigate to the student’s Academic Progress tab and locate the requirement you are placing an override on.
-
Click on related actions (three orange dots that appear when you hover over the requirement).
Example:
-
Under Actions, hover over Academic Requirement Override and select Create Override.
-
Select an Override Type.
-
Add Course: You can add a course as an option to satisfy an academic requirement. The course is typically not already included as an acceptable course for the requirement. Can be used for both course and credit requirements. This will apply to the vast majority of Academic Requirement Overrides.
Example: You will accept a course not normally considered a major elective. Students do not need to be registered for the course in order to add the override. Note that either the original course or the alternate can fulfill the requirement.
Tip: You can enter multiple courses at the same time. This is useful if more than one course is being added to a requirement category.
-
Adjust Credits: You can increase or decrease the number of credits required for a student to satisfy an academic requirement.
Example: You will allow a student to take fewer major electives than generally required but require an additional 3 credits for the core major requirements. This is not used unless you are also initiating a course waiver.
-
Adjust Course Count: You can increase or decrease the number of courses required for a student to satisfy an academic requirement. Do not use this Override Type.
-
Assign Course to Requirement: You can either assign an in-progress or completed registration to satisfy an academic requirement when the course is typically not already included as an acceptable course for the requirement, or the grade does not meet the minimum defined for the academic requirement. Do not use this Override Type. Use Add Course instead.
-
Substitute Course: This will be used primarily for programs of study that may require moving courses to/from Open Elective categories to Major Elective/Non-Major Categories. You can:
Remove a course defined as an acceptable course for the Academic Requirement. Specify a course as Not Required, and Workday will not consider it as satisfying the requirement. If using on credit requirement (i.e., Major Electives, Open Studio Electives, Non-Major Studio Electives), you can use this to exclude a course from being eligible for that requirement category.
Use Add Course if you are allowing another course to satisfy an academic requirement. See Add Course above.
-
Waive Requirement: Waive a specific academic requirement.
Example: The student does not need to fulfill the requirement at all. If a requirement is waived, the credits associated with the requirement must be adjusted in an elective category. See b. Adjust Credits above.
In the example above, the course requirement LAEL-1022 is being waived. Once the requirement and override type (Waive Requirement) is entered, click OK.
On the next screen, the student and academic requirement will appear. Do not submit an override reason. Enter any pertinent comments in the Comments field.
Note that these comments will be visible to anyone that has access to the Academic Progress report.
-
Once you have configured the override (all types), click Submit.
-
The request routes to Brianna Prete (bprete@risd.edu) for approval.
-
Once approved, the Academic Progress report updates right away (within 15 seconds at most). In the student’s Academic Progress, the requirement will appear with the notation of “Override Assigned”, regardless of override type.
