How to "End a Job" in Workday
Overview
What is this and why does it matter?
Ending a job in Workday is how you formally close out a student employee’s position when they stop working. This is a required step to ensure the student no longer has active system access, does not continue to receive pay, and that your department’s records remain accurate.
Failing to complete this process can result in payroll errors, compliance risks, and confusion for both students and administrators. Supervisors must promptly end a student’s job in Workday once their employment concludes.
Please Note: Students should not continue working after their job has ended. Allowing work beyond the termination date may lead to unauthorized payments and potential policy violations.
Supervisors who neglect to end a student’s job in Workday may be subject to administrative review, including corrective action under RISD policy.
How to End a Job in Workday
Step 1: Log in to Workday
Go to Workday and sign in.
(Example: Enter credentials and click "Sign In")

Step 2: Navigate to the Student Supervisor Profile
1. Type your name in the search bar.
2. Click on your name along with “Student Supervisor”.
3. The list provided are your student employees that report directly to you.

Step 3: Initiate Job Change
1. Select a student from your Members list
2. In their profile, click "Job Change" under Actions.
3. Select "End Job".
4. On the next page Select the Job that you are trying to end (there might be a few positions to select from).


Step 4: Enter Termination Details
1. Effective Date: Select the last day of employment.
2. Reason for Termination: Choose the appropriate reason (e.g., "Voluntary Resignation," "Graduation," "End of Assignment" Most common: End additional Employee Job-Involuntary-Assignment ended).
3. Optional Notes: Add any relevant comments (e.g.,"Ending job due to student graduating").

Step 5: Review & Submit
Verify all details.
Click "Submit".
Step 6: Confirmation
A success message will appear.
The student’s access will end on the effective date.
