Cloud Storage Best Practices

There are many different types of cloud storage options here at RISD. Each application subscription has different storage limits, settings, and retention policies.


As a general best practice, ITS recommends that cloud storage provided with any of our RISD software subscriptions should only be used as temporary storage.  Save essential files locally. Instructions are provided here for Faculty & Staff and for Students


We recommend this for several reasons:

  • After a student, faculty, or staff member leaves RISD, their access to software subscriptions is disabled, including but not limited to Google Drive, Adobe Creative Cloud & Adobe Portfolio, Zoom, Office 365, Dropbox, Canvas, and Miro. 
  • It is the individual's responsibility to download essential files from the various subscriptions before they graduate or before their last day of service.
  • Students should be advised that creating an Adobe portfolio under the school account will require a migration process before they graduate if they wish to keep that portfolio live after graduation. This will need a paid subscription.

  • RISD subscriptions provide a small amount of storage, and when the storage quota is reached, files will need to be purged, or no additional files can be saved.
  • Most services have a specific retention policy where files are removed after a set time.
